SJSU Account Retention Policy

An alumnus, emeritus, or other user that has left the school needs access to a system.

Alumni:

  • Long term, graduated students (alumni) have access to SJSU Email is terminated one year after graduation.
  • Long term, graduated students (alumni) have access to SJSU One account (MySJSU, Canvas, etc) is terminated one years after graduation.
  • If an alumnus has never had an account (they graduated before the system was in
    place), they can obtain an account if they go through the enrollment procedure as a
    “returning” student (Returning from Leave of Absence, or after taking one semester
    off by following the protocol in place. Unofficial withdrawal; If a student just stops attending, they will need to re-apply because they will have been dropped.)

Emeriti (retired employees):

  • Long term, retired employees (emeriti) have access to: Nothing unless Emeritus, then it’s email only.
  • Access to other services is terminated after retirement.
  • Emeritus Faculty retain their SJSU ID and retain access to SJSU Email (As long as they are emeritus they have email and can use password self-reset).
  • Emeritus faculty’ and ‘former faculty member’ are not synonymous. They would have to become an emeritus faculty member. That is done by Faculty Services and there is a fee.

Other Users:

    • Long term, students that have left the school WITHOUT graduating have access to:
      (create a ticket from the website).

      • Access to other services is terminated [One Year].
        • To regain access they must re-enroll as a returning student.
          True
    • Long term, employees that have left the school WITHOUT retiring have access to:
      (nothing)

      • Access to other services is terminated [unless/until they are re-hired].
    • Please include any other situations or circumstances that cause an account to be
      suspended, disabled, etc.
    • Email Account can be suspended for spamming, non-payment of fees or a hold or
      the account would not prevent an active student or applicant from seeing their
      portal, unless they miss a deadline, then they can be dropped.
    • Account may be suspended by enrollment services.
    • It’s not typical, but an account can be suspended for several instances of
      suspicious activity.
